POSITION DESCRIPTION
Labor Community Services Program of Los Angeles (LCS) is recruiting an Executive Assistant. The Executive Assistant position is a confidential position. LCS is a non-profit organization that serves unemployed and underemployed workers in Los Angeles County. We work diligently to meet our mission of distributing food and other goods to over 350,000 individuals yearly. LCS is the non-profit partner of the LA County Federation of Labor.
ESSENTIAL JOB FUNCTIONS
- Maintain and actively manage the Executive Director’s calendar. Optimize scheduling, confirm meetings and travel, address meeting conflicts and communicate effectively with the Executive Director.
- Provide exceptional administrative support for managing phone calls, responding to emails, and drafting correspondence and other materials on behalf of LCS. Maintain confidentiality for all sensitive matters.
- Create agendas, maintain and record minutes, and prepare resolutions for the Executive Board. Attend meetings and present minutes from prior meetings to the Executive Board.
- Track fundraising and contributions, and coordinate follow-up activities with donors and LCS staff.
- Support internal and external programming requests. Plan and coordinate on- and off-site events.
- Order and track LCS food, supplies and equipment purchases
- Coordinate solicitations and negotiations for LCS equipment leases and returns.
- Itemize and track LCS expenses for submission to accounting. Assist with check request processing and requests for credit card reimbursement and ensure proper use of LCS forms.
- Coordinate with the accountant and retrieve bank signatures.
- Track and submit requests for LCS assistance.
- Support LCS staff as needed and/or provide coverage if they are unavailable.
QUALIFICATIONS AND SKILLS
- Draft and edit emails, memos and other documents on behalf of the Executive Director.
- Ability to compose correspondence and prepare reports with the correct use of the English language (spelling, grammar and punctuation).
- Strong attention to detail with ability to review and proofread legal, financial, and budget documents.
- Proficiency in Microsoft Office Suite and other software; accounting software experience preferred.
- Excellent organizational skills, able to manage time effectively, prioritize and manage multiple tasks and responsibilities, and meet deadlines while working with minimal supervision.
- Strong professional presence, exhibiting tact with people of diverse economic/cultural backgrounds.
- Bilingual preferred (Spanish/English).
- Minimum 1 year experience in an equivalent position.
SALARY
Starts at $50K depending on experience. LCS benefit package includes employer-paid medical, dental, and a vision plan for full-time employees and their qualified dependents, as well as life and disability benefits after probationary period.
